Advantages and Disadvantages of Each Channel of Communication

Written Communication

Advantages

  1. Very inexpensive.
  2. Can be saved for future reference.
  3. Mistakes can be corrected before being given to the recipient. 
Disadvantages
  1. Information can be altered.
  2. The document can be dirtied or damage. 
  3. Store space and/or knowledge of filing is require for storage. 

Oral (verbal) Communication

Advantages
  1. Messages can be quickly conveyed. 
  2. No special device or technology necessary.
  3. It is easier to understand than some other channels of communication. 
Disadvantages
  1. Words spoken are quickly forgotten. 
  2. Poor presentation of the message can result in misunderstandings.
  3. Provides no legal evidence 

Visual Communication

Advantages
  1. Graphical images last longer in the mind of the recipient than spoken or written words. 
  2. Easy for illiterate people to understand.
  3. Presents complex information that would not be conveyed orally or in written ways. 
Disadvantages
  1. Can be costly. 
  2. Can create ambiguity especially if used alone.
  3. Can be distracting

Electronic Communication

Advantages
  1. Facilitates rapid global communication.
  2. Can be used to facilitate written, oral and visual communication. 
  3. Allows for permanent storage of information. 
Disadvantages
  1. Can be costly (the use of technological devices is needed).
  2. Communication is limited to persons who share similar technological devices. 
  3. Information may not be transmitted.

Writing a Bibliography

Writing a bibliography can be a very daunting and tedious task. So I have provided some links to help you along the way.

Remember:

  1. When doing a bibliography take your time.
  2. Check over you work to ensure that it matches up to the examples that you viewed.

Advantages and Disadvantages of Different Types of Records Management Systems



Alphabetical Records Management System

Advantages

  • Simple to understand.
  • Convenient for grouping correspondence by name, subject or location.

Disadvantages
  • Locating a name file, especially those with common names, takes time. 
  • Correspondence with same or similar names can be misplaced.



Geographical Records Management System

Advantages
  • Suitable for businesses with operations in different places. 
  • It is adaptable to an alphabetical system.

Disadvantages
  • Knowledge of Geography is important.
  • There is need for a card index of the correspondents. 



Subject Records Management System

Advantages
  • Correspondence relating to the same subject can be grouped together. 
  • It is adaptable to the alphabetical, geographical and numerical system. 
Disadvantages
  • It is not suitable for businesses that have large amounts of correspondence. 
  • It is difficult to decide under which title to file a given correspondence when it is not stated. 



Chronological Records Management System

Advantages
  • Suitable for documents or matters that require attention to follow up. 
  • Documents relating to the same time period are group ed together. 

Disadvantages
  • There is need for an alphabetical card index. 
  • Errors in writing dates on folders can cause papers to be misplaced. 



Numerical Records Management System

Advantages
  • Suitable for confidential records.
  • It is easy to locate a numbered file. 

Disadvantages
  • There is a need for alphabetical index cards to operate the system. 
  • It takes time to consult the index cards to identify a file number.  


Electronic Records Management System

Advantages
  • Documents can be retrieved very quickly.
  • Data is safeguarded by a password against unauthorized access

Disadvantages
  • Equipment is very expensive.
  • Back-up copies are required, as files can be accidentally deleted.

Preparing for the Office Administration CSEC Examination

Below is a list of things that a student can do to ensure their success in the CSEC Examinations of any kind. This list is not may not include all of the ways possible. I am sure that you can think of other ways; however I like to keep things simple so I will outline just a few.
  1. Submit a School Based Assessment (SBA) that is of high quality. Your SBAs contribute to a  portion of your exam grade. It is worth doing to the best of your ability especially since it the part of the exam that you are allowed to make corrections to with the aid of a teacher or an adviser. 
  2. Get an Office Administration course outline. Ensure that you have covered everything that is mentioned in the course outline. A course outline helps you to keep track of what you have covered in class, things that you have yet to cover as well as the areas that your are not so familiar with.
  3. Get an Office Administration textbook and the Office Administration for CSEC Study Guide. Nothing prepares you for an exam better than books that efficiently and effectively cover the course work.
  4. Practice past papers. Practicing past papers helps you to become comfortable with the structure of the exam. It helps to answer the questions without the aid of any resource materials; this gives you an understanding of how much you know and areas that you need to work one. After you would have done this it is okay to use resource materials to construct the correct answers to the questions. 
  5. Attend all of your classes. The pressure is on to complete SBAs and it seems feasible to miss a class or two, however missing classes means missing information and the opportunity to ask questions and seek adequate clarity one what was taught.
  6. Set a study timetable. Learning to manage your time is the key to success. Do not wait until you receive your exam timetable to begin to organize your study schedule. If you do not already have one, now is a good time to draft one.
  7. Have faith. Having faith in God and oneself can be part of the key to success. The thing with faith is that you must put in the hard work and then believe that God will bless your efforts. You must believe that you are able to pass the exam especially if you know that you have studied well. Remember cramming is not the same thing as studying.

The term communication can be defined in many ways here are a few:

  • The imparting or exchanging of information by speaking, writing, or using some other medium. 

  • A process by which information is exchanged between individuals through a common system of symbols, signs, or behavior.
